Guide

How to use a party planner

A party planner keeps every decision for one event in a single place: who's coming, what it costs, what you're serving and what has to happen when. It's most useful in the last few weeks, when small jobs pile up and the guest list keeps changing.
  1. Fill in the event overview first

Write the occasion, guest of honour, date, time, venue, theme, colours, expected guests and total budget on one page. Then note the vision and the must-haves, so later decisions have something to check against.

  2. Work the countdown from eight weeks out

The countdown checklist is already started: set the budget and draft the guest list at eight weeks, book the venue at six, send invitations at four, chase RSVPs at two. Copy each job onto the week it's due.

  3. Track guests and dietary needs together

The guest pages have columns for adults, kids, invited, RSVP and dietary needs. The total feeds straight into how much food and how many chairs you need.

  4. Plan the menu, then shop from it

Use the menu page for starters, mains, cake, drinks and who's bringing what, then write the shopping list with quantity, where to buy and cost.

  5. Write a day-of timeline

List set-up, arrivals, food, cake, speeches and clean-up with a time and a name next to each. Give a copy to anyone helping.

  6. Finish with thank-yous

Log each gift and who it came from on the gift page, and tick off thank-you notes as they go out.

What to include in a party planner

A party planner needs to cover people, money, food and the day itself. This one includes:

Calendar

Weekly and monthly pages

Three months of dated calendars from the month you start, with a weekly page for each week's jobs and your goal actions. There are no daily pages, so it stays short and easy to print. Choose 6, 12 or 18 months for an event that's further away.

Digital vs printable party planner

A digital party planner is handy when plans change quickly: move a guest from maybe to yes, paste screenshots of decorations or cakes onto the ideas pages, and keep everything on the tablet you take shopping.

A printable party planner suits anyone sharing the work. Print the shopping list, decor list and day-of timeline on A4 or US Letter and hand them to helpers, and keep the guest list and budget on a clipboard.

Questions

Party planner questions

Can I use it for any kind of party?

Yes. The overview asks for the occasion, guest of honour, theme and colours, so it works for birthdays, anniversaries, retirements, reunions and work events. Baby showers, bridal showers, graduation parties and Christmas have their own planners with extra pages.

How far ahead should I start?

The countdown checklist starts eight weeks before the party. A big milestone party, a venue booking or anything guests travel to often needs longer, so choose 6 or 12 months in the builder. A small party at home can be planned in a few weeks.

Is there a birthday party planner version?

This is one. Write the birthday in the occasion field and use the same pages. For a big birthday like a first, 30th or 50th, the milestone pages linked here have ideas and a timeline for that age, and open the builder with the title and length already set.

Is there a free party planner?

You can build this party planner and flip through every page in your browser for free, with a watermark. The tabs and links work in the preview, so you can check the layout before you pay. The clean PDF is $12 once, or included in Pro at $49 a year for unlimited planners. There is no free download of the full planner.

Does it work with GoodNotes, Notability, Samsung Notes and e-ink tablets?

Yes. Download the iPad size for GoodNotes, Notability, Noteshelf, Xodo, Collanote or ZoomNotes; the Android size for Samsung Notes, Penly, Flexcil or Xodo; or the E-ink size for reMarkable, Kindle Scribe, Boox and Supernote. The links work in any app that follows PDF links, usually in read mode rather than pen mode. Every size is included in the price.

Can I print the party planner?

Yes. Choose A5, A4, US Letter or Half Letter in the builder for a printable PDF with a wider inner margin for hole punching. Printable and digital sizes come with the same purchase, so you can use the party planner on a tablet and print the pages you want on paper.

When does the party planner start, and how long is it?

It starts in the current month and runs for 3 months by default, which suits most event planning. In the builder you can choose any start month and year and a length of 3, 6, 12 or 18 months, so an event you're planning a year ahead fits too. Or switch to undated and write the dates in yourself.

Does the AI fill in the party planner for me?

Only the goal parts, and only if you want it to. Type up to six goals and the AI writes a milestone for each month and a short action for each week onto your month and week pages, plus a motto for each month. You can edit every line before you download. Everything else, from the calendar pages to the trackers, is yours to fill in by hand. You can try it 3 times a day without an account.

Make it yours in about a minute.

Set your dates, device and goals, flip through the preview free, and pay only when it's right.
