Guide

How to use a graduation party planner

A graduation party planner helps a family host a big, often casual party in a busy season, when other families are planning theirs too. Fixing the date early, knowing the guest count and planning food for people arriving at different times are what make it work.
  1. Pick the date early

Graduation season is crowded and friends may have several parties in one weekend. Write the date and time on the event overview, and send save-the-dates if your town's parties cluster on the same weekends.

  2. Build the guest list from several circles

Family, school friends, teammates, teachers and neighbours. Track adults, kids, RSVPs and dietary needs on the guest pages.

  3. Plan food for an open house

If guests come and go, plan food that sits out well and refills easily. Use the menu page for food and drinks and the shopping list for quantities and costs.

  4. Make a photo display

Use the photo shot list for pictures you want on the day, and add printing costs to the budget. The ideas pages hold layout sketches for a photo board.

  5. Keep a gift and card log

Graduation gifts are often cards with money. Note each one on the gift page as it's opened so thank-you notes are accurate.

  6. Set a goal for what's next

The goal pages are there for the grad: a summer job, saving for college or moving out, broken into monthly milestones.

What to include in a graduation party planner

A graduation party planner needs the party pages plus room for the grad's next step. This one includes:

Calendar

Weekly and monthly pages

Three months of dated calendars from this month, with a weekly page for each week's jobs and goal actions. There are no daily pages, so it's quick to print for the fridge.

Digital vs printable graduation party planner

A digital graduation party planner is easy for parent and grad to share: send the PDF and paste photos for the display board or screenshots of decorations onto the ideas pages.

A printable graduation party planner works well on the fridge in the weeks before. Print the countdown, shopping list and day-of timeline on US Letter or A4 for the family and helpers.

Questions

Graduation party planner questions

Does it work for an open house?

Yes. Many graduation parties are open houses with guests coming and going. Use the day-of timeline for set-up, food refills and clean-up rather than a fixed schedule, and plan food from the total guest count on the RSVP pages.

What are the goal pages for?

Graduation is a natural time to plan what's next. The goal pages and quarterly resets work for a summer job, moving to college or a first apartment. Switch the Goals section off in the builder if you only need the party pages.

Is there a free graduation party planner?

You can build this graduation party planner and flip through every page in your browser for free, with a watermark. The tabs and links work in the preview, so you can check the layout before you pay. The clean PDF is $12 once, or included in Pro at $49 a year for unlimited planners. There is no free download of the full planner.

Does it work with GoodNotes, Notability, Samsung Notes and e-ink tablets?

Yes. Download the iPad size for GoodNotes, Notability, Noteshelf, Xodo, Collanote or ZoomNotes; the Android size for Samsung Notes, Penly, Flexcil or Xodo; or the E-ink size for reMarkable, Kindle Scribe, Boox and Supernote. The links work in any app that follows PDF links, usually in read mode rather than pen mode. Every size is included in the price.

Can I print the graduation party planner?

Yes. Choose A5, A4, US Letter or Half Letter in the builder for a printable PDF with a wider inner margin for hole punching. Printable and digital sizes come with the same purchase, so you can use the graduation party planner on a tablet and print the pages you want on paper.

When does the graduation party planner start, and how long is it?

It starts in the current month and runs for 3 months by default, which suits most event planning. In the builder you can choose any start month and year and a length of 3, 6, 12 or 18 months, so an event you're planning a year ahead fits too. Or switch to undated and write the dates in yourself.

Does the AI fill in the graduation party planner for me?

Only the goal parts, and only if you want it to. Type up to six goals and the AI writes a milestone for each month and a short action for each week onto your month and week pages, plus a motto for each month. You can edit every line before you download. Everything else, from the calendar pages to the trackers, is yours to fill in by hand. You can try it 3 times a day without an account.

How many pages is the graduation party planner?

With the default settings it comes to about 81 pages. That includes 3 month pages, 14 weekly pages, the Party & Events, Budget and Goals pages and 20 notes pages. Switching off daily pages or sections makes it shorter, and the builder shows the total as you change things.

Make it yours in about a minute.

Set your dates, device and goals, flip through the preview free, and pay only when it's right.
