Guide

How to use a baby shower planner

A baby shower planner helps the host keep track of guests, food, games and gifts, and makes sure the parents-to-be can enjoy the day instead of organising it. It also leaves a record of who gave what, which matters when thank-you cards are written in the tired weeks after the birth.
  1. Agree the basics with the parents-to-be

On the event overview, write the date, venue, theme, colours and guest of honour, then check the guest list and any must-haves with the parents before invitations go out.

  2. Invite early and track replies

The guest pages record adults, kids, RSVPs and dietary needs. Many hosts send invitations a few weeks ahead so guests can plan around a weekend.

  3. Plan food, games and favours

Use the menu page for food, cake and drinks, and the decor page for decorations, tableware, games and favours. Put anything you need to buy on the shopping list with its cost.

  4. Keep the budget honest

Write each cost on the party budget with budget, actual and paid columns. If co-hosts are sharing costs, add a note next to each item saying who paid.

  5. Record gifts as they're opened

Ask one guest to write each gift and who it's from on the gift page during the shower. It makes thank-you cards much easier later.

  6. Hand the planner over

After the shower, the parent-to-be can keep using the pregnancy pages: appointment questions, a bump journal, the hospital bag checklist and a baby log.

What to include in a baby shower planner

A baby shower planner needs the party pages for the host and a few pages the parents will keep using. This one includes:

Digital vs printable baby shower planner

A digital baby shower planner is easy to share between co-hosts: send the PDF, and paste screenshots of cake designs or decorations onto the ideas pages.

A printable baby shower planner is useful on the day itself. Print the day-of timeline and the gift page so a helper can fill in gifts as they're opened, and keep the guest list on a clipboard by the door.

Questions

Baby shower planner questions

Is it for the host or the parent-to-be?

Both. The party pages are for whoever is hosting. The pregnancy pages (appointments, bump journal, hospital bag and baby log) are for the parent-to-be, so the planner can be handed over as a gift after the shower. Switch the Pregnancy & Baby section off in the builder if you're only hosting.

When is a baby shower usually held?

Many showers happen in the last two or three months of pregnancy, with invitations going out a few weeks ahead, but there's no fixed rule. The planner starts this month and runs three months by default; choose a longer length in the builder if you're starting early.

Is there a free baby shower planner?

You can build this baby shower planner and flip through every page in your browser for free, with a watermark. The tabs and links work in the preview, so you can check the layout before you pay. The clean PDF is $12 once, or included in Pro at $49 a year for unlimited planners. There is no free download of the full planner.

Does it work with GoodNotes, Notability, Samsung Notes and e-ink tablets?

Yes. Download the iPad size for GoodNotes, Notability, Noteshelf, Xodo, Collanote or ZoomNotes; the Android size for Samsung Notes, Penly, Flexcil or Xodo; or the E-ink size for reMarkable, Kindle Scribe, Boox and Supernote. The links work in any app that follows PDF links, usually in read mode rather than pen mode. Every size is included in the price.

Can I print the baby shower planner?

Yes. Choose A5, A4, US Letter or Half Letter in the builder for a printable PDF with a wider inner margin for hole punching. Printable and digital sizes come with the same purchase, so you can use the baby shower planner on a tablet and print the pages you want on paper.

When does the baby shower planner start, and how long is it?

It starts in the current month and runs for 3 months by default, which suits most event planning. In the builder you can choose any start month and year and a length of 3, 6, 12 or 18 months, so an event you're planning a year ahead fits too. Or switch to undated and write the dates in yourself.

Does the AI fill in the baby shower planner for me?

Only the goal parts, and only if you want it to. Type up to six goals and the AI writes a milestone for each month and a short action for each week onto your month and week pages, plus a motto for each month. You can edit every line before you download. Everything else, from the calendar pages to the trackers, is yours to fill in by hand. You can try it 3 times a day without an account.

How many pages is the baby shower planner?

With the default settings it comes to about 102 pages. That includes 3 month pages, 14 weekly pages, the Party & Events, Pregnancy & Baby and Budget pages and 20 notes pages. Switching off daily pages or sections makes it shorter, and the builder shows the total as you change things.

Make it yours in about a minute.

Set your dates, device and goals, flip through the preview free, and pay only when it's right.
