“Planner app for iPad” means two quite different things. Some apps are planners themselves: you type tasks, get reminders and drag things around a timeline. Others are notes apps that hold a PDF planner you write in with an Apple Pencil. This guide covers both, with what we could check in each app's own listing in November 2026. We make PDF planners, so we've said where our own product fits and kept it to one section.
First decide: planner app or PDF planner?
| Item | Planner app | PDF planner in a notes app |
|---|---|---|
| How you plan | Typing and tapping | Handwriting with a stylus |
| Reminders and alerts | Yes | No; a PDF can't notify you |
| Layout | The app's own | Whatever layout you choose or design |
| Goals and reflection | Varies; most focus on tasks and time | Pages for goals, habits, journaling and reviews |
| How you pay | Often a subscription | A planner file, plus the notes app |
Plenty of people use both: a calendar app for appointments and alerts, and a handwritten planner for goals, weekly planning and journaling.
Notes apps to hold a PDF planner
GoodNotes
An app many planner shops design for first. The free plan allows three files and a 5 MB import limit, which is smaller than many full-year planners; paid options are the Essential and Pro subscriptions, or a one-time Special Edition on the Apple App Store. It runs on iPad, iPhone and Mac, plus Android, Windows and the web. Links in a planner work in read-only mode, and the Elements tool keeps your stickers to hand. See our GoodNotes vs Notability comparison.
Notability
Known for recording audio alongside handwriting. The free Starter plan limits how many notes you can edit; Lite, Plus and Pro are subscriptions, and a one-time Classic purchase returned in July 2026. It runs on iPad, iPhone, Mac, the web and, since August 2026, Android. Planner links work when you're not writing.
Noteshelf 3
Free to start with up to three notebooks; Noteshelf Premium adds unlimited notebooks, all templates and handwriting recognition. It comes with its own planner and journal templates, and it follows links in imported PDF planners when you're not in writing mode.
Planner apps
Apple Calendar and Reminders
Already on your iPad and free. They're built for appointments, alerts and to-dos rather than goals or reflection, and they pair well with a handwritten planner.
Structured
A visual day planner that lays your tasks on a timeline. It's free to download, and Structured Pro adds features such as connecting your calendars and Reminders. It runs on iPhone, iPad and Mac.
Tiimo
A visual planner designed with ADHD and autism experts, with a colour-coded schedule, a focus timer and widgets. It's free to download with a paid Pro tier, syncs with Apple Calendar and Reminders, and runs on iPhone, iPad and Mac, with a web version for Pro.
Things 3
A to-do and project app with a calm, tidy design. The iPad version is a separate one-off purchase with no subscription: $19.99 in the US App Store when last checked in March 2026.
PDF planners to use in those apps
A PDF planner is a file of linked pages: tabs for months, weeks and sections that jump where you tap. You get it once and use it in any of the notes apps above. Your options:
- Ready-made planners from Etsy shops and planner brands. Pick one sized for your screen and orientation, and look through the shop's preview.
- Custom planners from a builder like ours, where you choose the planner type, dates, sections and theme, and AI writes your goal milestones into the pages. Every page can be previewed free; a planner is $12, or Pro is $49 a year.
- A planner you design yourself in Canva or Keynote, then link with a tool such as our hyperlink tool. Our Canva tutorial shows how.
How to choose
- Need alerts for appointments? Use Apple Calendar or a planner app for those, whatever else you choose.
- Like writing by hand? A PDF planner in GoodNotes, Notability or Noteshelf.
- Struggle with time blindness or routines? Visual timeline apps such as Tiimo and Structured are built for that.
- Want to pay once? Things 3, GoodNotes Special Edition or Notability Classic, plus a planner file.
- Try before you pay. Most of these apps are free to download, and you can preview a custom planner before buying it.
Things 3 is the exception: the iPad version is paid up front.
Can a PDF planner work with your calendar?
A PDF can't send notifications. Planners made here can, however, send their monthly milestones and weekly actions to Google Calendar or Apple Calendar through a subscription link, so your goals sit alongside your appointments. It's one-way: handwriting stays in the PDF.
