Almost every digital planner listing says "hyperlinked," but few explain what that means. It's worth knowing, because the links are what make a 500-page PDF feel like an app instead of a very long scroll. Here's how they work, and why they sometimes don't.
A PDF with tappable areas
A hyperlinked planner is an ordinary PDF that contains links: invisible rectangles placed over parts of a page. Tap inside one and the app jumps to another page in the same file. The tab you see is part of the page design; the link is a separate layer sitting on top of it.
Links are part of the PDF standard, so no special app or account is needed. Any PDF app that supports internal links can follow them. This also means links can't track you or phone home; they only point to other pages.
There are two kinds of link a PDF can contain:
- Internal links jump to another page in the same document. Planner tabs, dates and back buttons are internal links.
- External links open a web address. Some planners use them for things like a video or a shop page.
How a planner's links fit together
A well-built planner links in several directions, so you're never more than a tap or two from anywhere:
- Side tabs on every page go to each month and section.
- Calendar dates on the year and month pages open that day, or that week if there are no daily pages.
- Week numbers open the week page.
- Back links take a day up to its week and a week up to its month.
- A home link returns to the contents page.
In a 12-month planner with daily pages, that adds up to thousands of links. Doing that by hand is slow and error-prone, which is why most hyperlinked planners are generated by software rather than linked one by one.
Many planners, including ours, also include a PDF outline, sometimes called bookmarks. That's the list of months and sections some apps show in a sidebar. It's separate from the on-page links, so it's a useful backup way to navigate.
Why links sometimes don't work
When someone says the links in a planner are broken, the cause is usually one of these:
You're in writing mode
Most note apps only follow links when you're not writing. With a pen selected, a tap leaves a mark instead. Switch to read or view mode, or tap with your finger if your app lets only the stylus draw.
The app doesn't support internal links
Some simple PDF viewers and older app versions ignore links entirely. GoodNotes, Notability, Noteshelf, Xodo, Samsung Notes on recent versions, Penly and Flexcil all support them, as do several e-ink devices. See our compatibility table for details.
The file was flattened
"Printing" a PDF to a new PDF, or running it through some compression or editing tools, can strip the links out. Always import the original download.
A target page was deleted
Links point to specific pages. Adding new pages is usually fine, but deleting a page breaks any link that pointed to it.
How to check a planner before you buy
- Look for a preview or video that shows someone tapping through the planner.
- Check which apps and devices the seller has tested.
- Check what the dates link to: the day, the week or nothing.
- Make sure there's a way back to the contents from every page.
With our builder you can flip through your whole planner in the browser before you pay, and tap the tabs and dates to see where they go.
Linking a planner you designed yourself
If you designed a planner in Canva, Keynote or another design tool, you may have found that adding hundreds of page-to-page links there is slow or not possible at all. Our Hyperlink my planner tool does that step for you. Upload your PDF, draw where each tab sits once, and the links are added to every page. The preview is free, and it's $7 to download the linked file.
